Background

The challenge of keeping items and inventories clutter-free and organized is a universal struggle faced by individuals and businesses alike. Traditional methods of labeling boxes with handwritten notes or spreadsheets are time-consuming, error-prone, and offer no real-time search capability. For businesses managing large-scale inventories, the problem is even more critical, often resulting in lost time, misplaced assets, and reduced operational efficiency.

Project Objectives

The collaboration with FOUNDit Technologies aimed to:

• Build a cross-platform mobile app in Flutter that allows users to create virtual boxes, assign items, and generate printable QR code labels for physical storage containers.
• Develop a scalable Laravel backend capable of handling bulk QR code generation and optimized inventory search across thousands of items with instant retrieval.
• Implement a dual admin system with separate authentication flows for Super Admins and Printing Vendors, including payment integration and transaction management.
• Integrate seamlessly with printing vendor APIs, including Printful, to enable users to order printed QR labels and track their orders in real-time from within the app.
• Design an intuitive, user-friendly interface that simplifies inventory management for both non-technical individual users and business clients managing large-scale operations.

Challenges

While FOUNDit presented a powerful concept, several significant challenges were identified during development:

• Intuitive Item Management: Simplifying the process of item and box management so users could intuitively add, remove, and categorize belongings without feeling overwhelmed by data entry, particularly for non-technical users managing large quantities of items.
• QR Code Synchronization: Implementing a robust QR code generation and scanning system with real-time inventory synchronization, where dynamic item additions and removals needed to update existing QR codes without requiring regeneration.
• Scalable Backend Architecture: Designing a scalable Laravel architecture for bulk QR generation and optimizing MySQL queries for instant inventory searches across thousands of items.
• Dual Admin System: Managing a dual admin structure (Super Admin and Printing Vendor) with separate authentication flows while implementing payment integration with dynamic segregation, requiring complex transaction handling to ensure data integrity.
• Printing Vendor Integration: Building seamless integration with printing vendor APIs such as Printful while maintaining web-based fallback support, alongside a three-stage order status update system for real-time delivery tracking.
• Information Architecture: Ensuring seamless navigation between inventory lists, QR code generation, and search functions required a carefully structured information architecture that balanced functionality with ease of use.
